The EIB, the European Union's bank is seeking to recruit for Legal Directorate (JU) – EU Operations Department (OPS-EU) – Central Europe Division (CE) at its headquarters in Luxembourg, a Legal Back Office Support Assistant*.

This is a full time temporary position at grade 1/2.
The term of this contract will be 12 months: as this is a temporary replacement assignment, no extension or conversion of the contract is foreseen.
Panel interviews are anticipated for January 2026.
Purpose
Join a dynamic and supportive team where your operational and administrative expertise will make a real impact. As a valued member of the CE Division (leading the legal aspects of the EIB’s lending activities in Poland, Czechia, Slovakia, Romania, Bulgaria, Hungary, Slovenia and Croatia), you’ll play a key role in supporting high-level legal work and helping the EIB achieve its objectives. You’ll work closely with the Head of Division, transactional lawyers, fellow-assistants, and colleagues across the Bank, as well as external clients and partners, ensuring smooth and efficient lending operations of the EIB every day.
Operating Network
Internal contacts: collaborate with other teams in the legal department, but also colleagues from operations, risk and compliance, portfolio management and monitoring, building strong relationships and sharing knowledge.
External contacts: engage with a variety of external counterparts, such as the EIB’s clients (banks, public administration and corporates), external counsels and notaries, expanding your professional network.
Accountabilities
- Take ownership of preparing and finalizing contractual documentation for lending activities of the EIB, ensuring it meets the highest quality standards and compliance requirements.
- Review and proofread outgoing documents to guarantee accuracy and adherence to administrative procedures.
- Support the smooth flow of legal and administrative processes by managing document circulation, archiving, and follow-up tasks.
- Assist the Head of Division with budget administration, purchase orders, and coordination of both in-house and external consultants.
- Implement and monitor key controls and best practices within the back office to ensure operational excellence.
- Contribute to process improvements and keep the team updated on new procedures and best practices.
- Build strong working relationships with colleagues and external partners, acting as a key point of contact for information and agenda management.
Qualifications
- Secondary level education, complemented with a 2-year certification in a relevant field (e.g. business administration, languages, customer service, secretarial studies) or secondary level education with equally qualified experience in a relevant field
- A minimum of 5 years of relevant experience acquired as back office/administrative assistant. Experience in a law firm, corporate legal function, or any other legal environment, is a distinctive advantage
- Fundamental understanding of EIB's objectives and policies
- Proficiency in standard IT & office tools (particularly Word, Acrobat, Excel, PowerPoint, and Outlook), common office hardware (e.g. printing and scanning equipment); familiarity with Electronic Documents Management tools, electronic archiving, and reporting tools is an advantage
- Excellent knowledge of English and/or French (***), with a good command of the other. (Knowledge of other EU languages (particularly of the countries covered by the Division) would be regarded as an advantage).

(***) Unless stated explicitly as a required qualification, a good command of French is not a pre-requisite for hire. As both English and French are however official working languages of the EIB, proficiency in both languages is a pre-requisite for your future career development. Any language clause in your contract must be fulfilled in order for you to be eligible for a promotion (either via the annual appraisal cycle or via an internal selection process). Proficiency is understood to mean the attainment of level 5 of the Inter Institutional language courses, corresponding to B1.2 of the Common European Framework of Reference for Languages (CEFRL). The Bank offers appropriate training support.
