Job Title: IT Procurement Intern

Job Description:
As an IT Procurement Intern, you will assist the IT procurement team in integrating new scope of service. You will work closely with internal stakeholders, vendors, and suppliers to ensure timely delivery of data and analysis. You will also work as interface to SPC team for new scope contract loading. This role will provide you with valuable exposure to procurement best practices and contract management.
Key Responsibilities:
- IT Purchasing Master Plan:
- Develop a detailed, long-term purchasing strategy for IT procurement, aligning with the organization's goals and growth projections.
- Define the purchasing processes, timelines, and budget management practices to ensure efficient and cost-effective procurement of IT goods and services.
- Identify key suppliers, negotiate potential contracts, and establish clear procurement guidelines for hardware, software, and IT services.
- Contract Repository Development:
- Create a centralized, digital repository to store all IT-related contracts, including vendor agreements, licenses, and service-level agreements (SLAs).
- Design a user-friendly interface that allows easy access, tracking, and management of contracts across various departments.
- Implement security measures to ensure the confidentiality and integrity of sensitive contractual information.
- Enable automated alerts for contract renewals, expirations, and renegotiations to ensure timely actions are taken.
- Stakeholder Mapping:
- Identify and map all internal and external stakeholders involved in the IT procurement process, including key decision-makers, department heads, vendors, and legal teams.
- Establish clear communication channels and workflows for stakeholder engagement, ensuring that each party is informed and involved at the appropriate stages of the purchasing process.
- Create a stakeholder management plan that outlines the roles, responsibilities, and expectations of each party to ensure smooth collaboration.
- Service Descriptions:
- Provide clear and detailed descriptions of the services involved in the IT procurement process, including hardware acquisition, software licensing, IT support services, and cloud solutions.
- Outline the scope, terms, and performance metrics for each service to ensure clarity in expectations between the business and service providers.
- Develop a service catalog that can be easily referenced by both internal teams and external vendors.
- Support for Buyers on Small-Value Items:
- Offer ongoing assistance to procurement professionals handling small-value IT items, ensuring they have the tools and knowledge to make effective purchasing decisions.
- Create standardized templates for small-value purchases to speed up decision-making and reduce the administrative burden on buyers. Provide training sessions and best practices on sourcing, vendor management, and ensuring compliance with procurement policies for small-value items
Qualifications:
- Currently pursuing a degree in Business Administration, Supply Chain Management, Information Technology, or a related field.
- Strong interest in procurement, vendor management, and IT asset management.
- Excellent communication and interpersonal skills, with the ability to work effectively with internal teams and external vendors.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Basic working knowledge with SAP is a plus.
- Strong analytical and problem-solving skills.
Preferred Qualifications:
- Previous experience or coursework in procurement, supply chain management, or IT.
